College Counseling Department Administrative Assistant

Position Overview:

The ACS College Counseling Department supports students in grades 8 through 12, and their parents, with plans and applications for colleges and universities, summer programs and other programs around the world, with the direction, supervision and guidance of the Director of College Counseling.

The position of administrative assistant for this department is a full-time job in which the assistant supports the work of the department under the supervision and guidance of the Director of College Counseling and assists the director in the organization and coordination of all college counseling related tasks, meetings, materials and events and in order to ensure efficiency and effectiveness of the college counseling program, including on occasional early mornings, late afternoons, evenings and weekends.

Tasks include, but are not limited to, the following:

  • Greeting with a welcoming and helpful attitude the students, teachers, staff and parents who walk into the office, and helping them, in English or Bulgarian, find the person who can best assist them.
  • Answering the office phone in English with a welcoming and helpful attitude and helping the person, in English or Bulgarian, find who can best assist them.
  • Arranging for the needs of the department in terms of office supplies, room reservations and set-up, documents needed from other departments, etc.
  • Assisting the director in maintaining an environment in the office that is visually professional, welcoming and comfortable for all visitors.
  • Organization work:
  • Organizing in a helpful, clear and visually appealing way the information of the department on the Google software suite (documents, slides spreadsheets and more), on other online systems, on desktop and laptop computers, and in hard copy in department files and on bookshelves
  • Assisting the director in organizing all supporting documents for each student such as transcripts, diploma statements and letters of recommendation.
  • Familiarizing oneself with, and helping the director organize, maintain and update, online systems such as Google Drive, Google Classroom and Maia Learning (an online college/university counseling platform).


Testing work:
- Assisting the director in ordering, organizing and administering standardized exams throughout the year (PSAT, AP exams, SAT, ACT, Admissions Tests and others)


Data Collection work:
- Assisting the director in collecting data regarding the work of the department, including applications made and the results, documents needed and sent, etc.


Research work:
- Conducting research online, in person and in books to support the work of the department, including information about colleges and universities around the world to maintain a strong working knowledge


Document work:
- Creating documents needed for students’ applications


Translation & Interpretation work:

  • Translating documents and presentations from Bulgarian to English and vice versa
  • Interpreting for the director and counselors during meetings with parents
  • Interpreting during presentations to large groups


Requirements:

  • Bachelor’s degree, preferably from a program in which all instruction was in English and which included instruction and assignments in writing and presenting
  • Excellent communication skills
  • Excellent skills in Google's suite of programs as well as Excel and csv files, or a willingness to acquire these skills through independent study beyond work hours
  • Excellent English and Bulgarian language skills (reading, writing, speaking, listening)
  • Excellent skills in writing professional emails and creating professional slide presentations
  • Ability to take direction and constructive criticism with a desire to improve
  • Desire to learn continuously and conduct independent research to improve knowledge and skills for the job
  • Experience with, and affinity for, this age-group
  • Desire to help others
  • Proactive and results-oriented attitude
  • Flexibility, adaptability, patience, empathy
